Brief Description of Job:

REPORTS TO:  Diocesan Secretary for Development

PURPOSE OF POSITION:

The Gift Processor and Reporting Specialist has expertise in accurate, efficient and timely recording of donations is fundraising systems of record and is a vital member of the Development team responsible for maintaining and organizing constituent information in the database, including ensuring the integrity of financial and constituent data, gift entry, training staff, and assisting with evaluating and identifying reporting needs for the Diocese’s fundraising efforts. The position will report to the Diocesan Secretary for Development and will be a partner in helping to achieve the department’s goals. This position will also work closely with the office of Finance under the supervision of the Secretary for Development.

ESSENTIAL FUNCTIONS:

Duties/Responsibilities ‐ Gift Processing:

Manage the data entry and processing of all pledges, gifts, and contributions coming from multiple sources including checks (mail), credit cards (online), lockbox services, and stock/wire transfer.

Manage the day‐to‐day operations of the DonorPerfect Database for the Office of Development to include but not limited to: setting up new users; training old and new users; working with Secretary of Development, other Development staff, and Finance to create funds, actions, campaigns, etc; running global changes, appeal additions, and coding queries to keep records up‐to‐date with mailings and invitations.

Validate gift integrity as new contributions are added to the database.

Ensure gift and data integrity, providing reporting solutions, queries and exports for all Development staff. Track and analyze prospect and donor fundraising efforts for all forward‐ facing staff.

Responsible for scanning all backup/ancillary materials and linking to appropriate records, database clean‐up and maintenance, including the elimination of duplicate accounts and establishment of new donor records. Research best practices for data integrity practices and proactively communicate to staff opportunities to enhance our donor record information.

Attend and provide support at Development events to assist with registration and event management, as assigned.

Duties/Responsibilities ‐ Reports Specialist:

At the direction of the Secretary for Development, create and execute ad hoc requests for reports, queries, and exports with the primary goal of proactively supporting colleagues within the Development Office and in other Diocesan Offices related to special fundraising projects, everyday activities, general list pulls for special events, mailings, cultivation events and donor visits.

Oversee the weekly, monthly and year‐end reconciliation of all gifts with Finance. Support the Development Office by processing and managing online gifts and oversee Development Office personnel to ensure gift acknowledgements and gift agreements/pledges are scanned and posted in the database.

Ensure the timely, thorough, and transparent tracking and reporting of all stewardship activities to both internal and external constituents.

Create processes to track donations and pledge payments for Capital Campaign, Annual Fund, Regional Receptions, Gala Dinners, Endowment, Catholic School Alumni, Scholarships, and in‐kind donations, including generating pledge reminders, aging report on pledges and cash flow reports.

Assist the Secretary for Development with the creation and maintenance of a data standards and data entry manual.

Other duties as assigned.

Minimum Qualifications:

QUALIFICATIONS:

Bachelor’s degree required.

Strong PC skills; knowledge of Microsoft Office. Knowledge of Adobe CS a plus.

Strong technology skills and knowledge of data trends are essential; knowledge of DonorPerfect, the system of record for the Diocese of Scranton, preferred.

Ability to compose written materials at a professional level.

Must possess outstanding critical thinking skills as well as the ability to analyze and interpret complex business and financial data and philanthropic information.

Comprehensive knowledge of modern database design, current trends in fundraising appeals and report methodologies to improve donor relationships.

Must have the ability to multitask and meet strict deadlines. Must have a demonstrated ability to work independently and as a self‐starter in a team‐oriented environment.

Must have the ability to organize complex materials, manage more than one project at a time, adapt to changing priorities, maintain sensitive and confidential information and communicate comfortably in a professional setting.

Must work congenially with staff and others.

Highly ethical standards and able to maintain confidential information.

Three or more years' experience with DonorPerfect (or other comparable fundraising system).

Successful track record of creating actionable reporting which resulted in increased the identification of new prospects or direct increases in revenue a plus. Successful experience in non-profit stewardship, development, alumni relations, and/or donor relations' activities.; for-profit experience in sales management, finance or accounting, or business development would also be considered.
